Create An Order

Create and manage fulfillment orders, assign inventory from pallets, track approval stages, and prepare orders for shipment.

Deleting Shipped OrdersWhen an order is deleted, all assigned pallet inventory is returned to inventory and all products are removed from the order. If the company is configured as Bill On Shipment and the order has already shipped, the billing entry will not be removed automatically. Notify the billing department if a shipped order is deleted. Only system administrators can delete shipped orders.

Order Overview

The Create An Order page is the primary form used for creating and editing fulfillment orders. Orders move through multiple warehouse, accounting, and quality control stages before shipment.

The available products for an order are based on the selected company. Inventory is assigned directly from available pallets and tracked throughout the fulfillment process.

How to Create an Order

  1. Select the order type

    Set the Order Type to Normal for standard fulfillment orders or CrossDock when transferring items between internal sections, bins, or warehouses.

  2. Choose the company

    Select the company from the dropdown list. Available products will update based on the selected company.

  3. Set the order status

    Select the appropriate status for the current stage of the order workflow.

  4. Add products

    Select a product, enter the requested quantity, and click the Add Product button to include it in the order.

  5. Assign inventory

    Expand a product row to assign inventory from available pallets and allocate the required quantities to the order.

  6. Review approvals

    Complete any required accounting or QC approval processes before preparing the order for shipment.

  7. Finalize shipping details

    Add shipping information and upload files or supporting documents before or after shipment.

Warehouse Approval Ready To Pull Accounting Approval QC Approval Ready To Ship Shipped

Status Definitions

  • Warehouse Approval — Waiting for warehouse staff to verify inventory and approve the order.
  • Ready To Pull — Warehouse approved the order and inventory can now be pulled.
  • Accounting Approval — Orders for customers on credit hold require accounting approval before fulfillment.
  • QC Approval — Pulled inventory is undergoing final quality verification before shipment.
  • Ready To Ship — The order is approved and ready for shipment processing.
  • Shipped — The order has been shipped.
  • Shipped Dispute — A shipping issue or customer dispute exists for the order.

Managing Products and Inventory

After products are added to the order, they appear in a list within the Products section. Use the Edit button to modify quantities in a pop-up window.

Click a product title or title bar to expand the product details and assign inventory from available pallets. Enter the quantity to allocate from a pallet and click Add To Order.

The product title bar acts as a visual indicator for fulfillment progress. Partially filled orders display a yellow title bar while fully filled orders display a green title bar.

Add Product

Add products to the order by selecting a product and entering the requested quantity.

Edit Quantity

Modify product quantities after they have been added to the order.

Assign Inventory

Select pallet inventory and allocate quantities directly to the order.

Approve Order

Move the order through warehouse, accounting, and QC approval stages.

Prepare Shipment

Finalize shipping information and prepare the order for shipment processing.

Upload Files

Attach supporting files or shipment documentation at any stage of the order process.

Credit Hold OrdersIf a company is marked as Credit Hold, accounting approval is required before the order can proceed to fulfillment and shipment.

Shipping and Additional Information

Shipping details can be edited before or after shipment using the Additional Information section of the order.

Files and supporting documents can be uploaded at any point during the order lifecycle using the Files section near the bottom of the page.

Once all required approvals are complete, the order can move into the shipment process.
